EPFO launches WhatsApp services for PF details in India

EPFO launches WhatsApp services for PF details in India

The Employees’ Provident Fund Organisation has launched WhatsApp-based services for provident fund subscribers, allowing them to check PF balance, access passbook details and view their latest five transactions through EPFO’s verified WhatsApp service, according to ETHRWorld. Union labour and employment minister Mansukh Mandaviya launched the services during EPFO’s 74th Foundation Day celebration in New Delhi on 2 November 2026.

The WhatsApp facility also offers personalised guidance for completing requirements under the Pradhan Mantri Viksit Bharat Rozgar Yojana. Alongside the messaging service, Mandaviya launched an automatic settlement facility for eligible inoperative EPF accounts. Subscribers with Aadhaar-verified inoperative accounts holding balances up to Rs 1,000 will not need to file individual claims. EPFO will initiate settlement automatically after identity and bank account verification. Around one lakh accounts involving approximately Rs 5 crore are expected to benefit.

What the WhatsApp service covers

The verified WhatsApp channel is positioned as a self-service front end for routine EPFO queries. Subscribers can retrieve their PF balance, the five most recent transactions and passbook information without logging into the member portal or using the UMANG app. The stated aim, according to ETHRWorld, is to make routine services accessible through a familiar mobile platform and reduce the need for subscribers to visit EPFO offices.

For payroll teams, this matters because employee questions about PF balances and recent credits often land with HR first. A WhatsApp channel that employees can use directly may reduce the volume of routine queries that payroll staff handle each month, particularly after monthly contributions are remitted and employees want confirmation that their employer has deposited funds.

How the automatic settlement of small inoperative accounts works

The automatic settlement facility targets inoperative EPF accounts with balances up to Rs 1,000 where the member’s Aadhaar is verified. EPFO will initiate settlement after completing prescribed identity and bank account verification, then transfer the eligible amount to the rightful beneficiaries. No individual claim is required.

The scale is modest: around one lakh accounts and roughly Rs 5 crore in total. That works out to an average of about Rs 500 per account. The significance is operational rather than financial. Small inoperative accounts have historically been a source of administrative friction, with members often unaware that dormant balances exist or unwilling to complete claim formalities for small sums. Automating these settlements clears a backlog and reduces the number of dormant accounts on EPFO’s books.

Employers should note that this facility does not change their contribution obligations. It applies to accounts that are already inoperative, meaning no contributions have been received for a defined period. Payroll teams do not need to take action, but they may receive questions from former employees who receive unexpected small payments and want to understand the source.

What this means for HR and payroll teams in India

The practical impact for employers is likely to be felt in three areas.

First, employee self-service. Many PF-related questions that reach HR are requests for balance confirmation or transaction history. A verified WhatsApp channel gives employees a direct route to that information. HR teams may want to communicate the service to employees, including the need to use EPFO’s verified WhatsApp number rather than third-party services that claim to offer similar information.

Second, data accuracy. The five most recent transactions shown on WhatsApp will reflect what EPFO has recorded. If an employer has delayed remittance or filed an incorrect electronic challan cum return, employees will see that quickly. This raises the stakes for timely and accurate monthly filings.

Third, exit processes. When employees leave, HR teams often assist with PF transfer or withdrawal claims. The WhatsApp service does not replace the claim process, but it gives departing employees a faster way to check their balance before deciding whether to transfer or withdraw.

Steps employers can take now

Employers should confirm that their monthly ECR filings are current and accurate, since employees now have a low-friction way to check whether contributions have been credited. Any discrepancy between payroll records and EPFO records will become visible more quickly.

HR teams may also want to prepare a short internal note explaining the WhatsApp service, the verified number to use, and what the service can and cannot do. It cannot process claims, update KYC details or resolve disputes. Those actions still require the member portal or direct contact with EPFO.

For the automatic settlement of small inoperative accounts, no employer action is required. However, payroll teams should be aware that former employees may receive small payments and may contact the company for clarification. A brief explanation that EPFO has automated settlement for small dormant balances should suffice.

The announcements were made alongside the release of seven publications reflecting EPFO’s focus on knowledge creation, institutional learning, legal awareness and compassionate governance. Mandaviya said EPFO had emerged as a trusted institution for India’s workforce over its 74-year journey, and that its Rs 32 lakh crore corpus, accumulated through contributions from more than eight crore members, reflected the trust placed in it.
